Welcome to the community, and thank you for reaching out with your report!
When moving your Roon account and license to a brand new Windows Server, getting stuck or facing a failure during the initial connection phase usually means a corrupted configuration file or a stale database state is blocking the cloud authentication handshake.
To break through this and get your new server licensed, we want to perform a clean reset of the Roon environment on this machine. This will force Roon to treat it as a pristine, fresh install and allow you to log into your account directly.
Please follow these steps directly on your new Windows Server machine:
1. Perform a Fresh Roon Environment Reset
Completely exit and close the Roon Server / Roon application on the new server.
Open Windows File Explorer and type %localappdata% into the address bar, then hit Enter.
Locate the folder named Roon,RAATServer and RoonServer, if all are present.
Delete these folders entirely (or rename them to Roon_old and RoonServer_old). This clears out any temporary activation locks.
2. The Login and Authorization Step
Head over to our Downloads page and download a fresh copy of the installer.
Run the installer to generate a brand-new database environment.
Open the Roon app. When prompted on the first startup screen, do not click “Restore a Backup” yet. 4. Instead, choose to log straight into your account using your standard credentials.
If you see a message stating that your license is already in use on your old server, simply click the Un-authorize button. Don’t worry, this is completely safe and just transfers your active license to the new Windows Server.
Once you are successfully logged in and the server is running normally under your license, you can then safely go to Settings > Backups to restore your history, playlists, and settings.
Give this clean login method a shot and let us know if it successfully activates your new Windows Server!
Thank you Vadim,
I was transfering my roon Server onto another Windows PC, since the origional one was outdated. Before attemping I read the Knowledge Base articles, which are very good and followed the steps, which was all easy.
In contrast to what is said there - you can have two roon servers existing with the same license, as long as only one is running at a time - I was unable to complete the process unless i Remoced the license in total from the previous server (which is fine, but I would have wanted to have a way back if something fails) although I do not exactly remember how the button was actually called.
When I hit that, however, the new server did set up, I recovered from the Backup created earlier on the old unit and I am fine now.
Sorry to have bothered.
On the other hand you maybe want to correct the Knowledge Base article mentioned above.
Thanks again and best regards
Werner
Just a quick clarification to ensure you have a smooth experience with your new server:
It is important to keep in mind that Roon’s database is stored locally and is entirely unique to each server instance. This means that your playback history, custom edits, and library settings are not automatically synced between devices—they are tied to the specific database currently running on the server.
Because of this:
Different Servers: You can technically have multiple Roon Servers installed on your network, but they will operate as completely separate entities with their own distinct libraries.
License Management: Your Roon license allows for one active server at a time. If you decide to switch from your old server to the new one permanently, you simply click the “Un-authorize” button on the old server when prompted during the login process on the new one.It will not affect the local or remote database.
Migration: If you want your settings, playlists, and history to follow you from your old machine to the new one, the correct process is to perform a Backup on the old server and then Restore that backup on the new server once it is successfully activated.
Did the reset steps work for you, and were you able to get the new server authorized and running?
Just checking in on this. Were you able to get the new Roon Server authorized after the reset steps, and did you have a chance to confirm whether you want to keep the old server unauthorzied or move your settings over with a backup and restore? If you are still working through the switch, let us know what you are seeing and we can help from there, thanks.
Thank you again @noris and @vadim the transfer worked out nicely. Including Backup and Restore.
I have totally dismantled the old device and will not return. The new one works fine and will stay for hopefully many years. Please feel free to close the case!
